Smartr365 in collaboration with L&G have streamlined the procuration claim fee payment process for L&G Mortgage club members. This feature allows the case data on Smartr to be automatically synced with L&G payment platform, hence, improving efficiency, enhancing accuracy of data and simplifying the payment reconciliation process.
Requirements:
To use this feature from Smartr365 Adviser platform, the following are required:
- The brokerage must be a member of the L&G Mortgage club
- Have access to L&G Mortgage club hub. Please Contact your L&G representative if you don’t have access and are interested.
- Have an agency number
- FCA number must be saved on Smartr365 Platform
Settings
The configuration required to start using this feature can only be done by a System administrator using the following steps:
To turn on the feature switch for the brokerage,
- From the side navigation menu, select settings.
- Click on Feature setting
- Turn on the toggle for L&G Mortgage Club Submissions
The feature is then turned on for the brokerage and the agency number received from L&G mortgage club can be saved to complete configuration, both as a system admin or adviser.
Before the agency number can be saved on the system, the FCA number needs to be validated and saved. This can also only be done by a system administrator.
To save the FCA number:
- From the settings page, click on branding.
- Input the FCA number
- Click on Save.
The system validates and saves the FCA number.

Another option is:
- From the settings page, click on SmartrCriteria.
- Input the FCA number.
- Click on Save.

To Save the agency number.
- From settings, click on ‘My Credentials’
- Scroll down to L&G mortgage Club
- Enter Agency number
- Click on ‘Save’.
The agency number is validated against L&G Mortgage club’s database and saved on Smartr365 platform. The adviser can begin to request for procuration claim fees using the system.
Requesting for Procuration Claim Fee for a Case
The L&G Claim Submission feature allows the user to request for the procuration claim fee for a case either at post-offer processing status (for Re-mortgage or Raise funds cases) or at the contracts exchanged status( for First type buyer or Purchase cases). This request can be made using the steps below:
- Create a new case or using an existing case and input client/case details as usual.
- Update the status of the case to Post-offer processing (re-mortgage or raise funds cases) or Contracts exchanged (first time buyer or purchase cases). Fill in any mandatory fields requested by Smartr.
- The system displays a money bar with the question: Request for Proc fee from L&G? ‘No thanks’ or ‘Yes please’. The money bar is only displayed on the case summary page.
- Where ‘No thanks’ is selected, the system displays a confirmation pop up and once confirmed, the money bar disappears and will no longer be displayed for that case.
- Where ‘Yes Please’ is selected and not all Smartr mandatory fields have been filled, the system displays error message with the outstanding mandatory fields.
- Click on open application form and populate the mandatory fields.
- Navigate back to the summary page where the Money bar is displayed.
- Where ‘Yes please’ is selected, and all Smartr mandatory fields have been selected, the system displays a pop up dialogue box with mandatory fields requested by L&G.
- Select the Lender, Product and Product length from the drop down menus.
- Click on Save.
- The system sends the case details to L&G and receives a procuration claim reference in return which is saved on the case.

View Procuration Fee Reference on Smartr case Details
To view the procuration claim fee reference for a submitted case,
- Navigate to the mortgage application form
- Scroll down to Mortgage Fees
- The procuration claim reference is displayed in the associated field.
View Claims Submitted on L&G Mortgage Club Hub
Once the case has been submitted, the user can log into L&G mortgage club to view the transaction details by either going to the L&G Mortgage Club Hub website or using the Single sign-on (SSO) within Smartr using the steps below. The prerequisite is that the email address and agency number used on Smartr365 should be the same used to register for L&G Club hub.
- Click on Quick Sourcing on the left hand side navigation bar.
- Click on Access now on the SmartrFit tab.
- The system should open the L&G mortgage club link in a new tab, already signed in.
- On L&G club hub, click on Proc fee
- For the first time using SSO, the system will request for the agency number.

- Enter Agency number and save.
- L&G will verify your identity by sending an email with an access code.

- Enter the access code and click on verify.
- L&G validates the code and returns a successful message.
- If the device is not shared with other users, the system provides the option to remember you in 30 days.

- Once verification is complete, the system displays the proc fee form.
- Click on Claimed fees to view all claims submitted. The claims submitted from Smartr365 will be displayed on the claimed fees page.
- To view the claimed fee status, click on Claimed fees History. The system displays all transactions and their updated status.
- Export the data from L&G Mortgage club.
Update Fee status on Smartr365.
The claimed fees downloaded from L&G Club hub should be uploaded on Smartr365 to ensure that all records within Smartr365 are updated. This can be used to generate reports that give a wholistic view of outstanding payments. To bulk update Smartr365 with claimed fees paid, use the steps below:
- Log in as a system administrator
- On the settings menu, click on Bulk Update>
- The system displays the Bulk Update page with the view of bulk update history.
- Click on Create New Import.
- Select the type of update as ‘Proc Fee by Procuration Claim Reference’.
- Download the template and update downloaded template with your data. Save as a CSV file.
- Upload the CSV file.
- The system displays the upload status. Note that the systems runs the upload at night so the case details will be updated by the next day.
- Once upload is completed, the fee status (Paid), fee amount and paid date of each of the cases on the upload file will be updated.
